What It Is
The Office of Clinical Trial Activation (OCTA) has launched a new UCSF resource for monitoring clinical research data entry timeliness. The Policy Compliance Dashboard in Tableau makes compliance visibility clearer and faster across research studies at UCSF. Aligned with Campus Administrative Policy 400-25 OnCore Utilization and APeX Billing Review for Clinical Trials, the dashboard provides an automated, real-time view that helps study teams assess status, identify gaps, and monitor progress toward one-business-day entry requirements for key participant and study events.
What It Shows
The dashboard tracks compliance across three core areas:
Participant Registration and Enrollment (OnCore): Record enrollment status, consent date, and any updates within one business day.
Participant Visit Tracking (OnCore): Record visit completion and actual visit date within one business day of the scheduled visit.
Research Encounter Linking (APeX): Link encounters and orders to the research study and timeline point within 1 business day of the visit date.
Each section shows how quickly data is entered or linked, using clear color-coded indicators (green = within policy; yellow/orange/red = delays). Filters allow users to view results by department, PI, or study portfolio.
Why It Matters
Timely data entry keeps OnCore and APeX aligned—reducing the risk of billing non-compliance. The dashboard empowers teams to spot issues early, supporting accurate billing, data integrity, and audit readiness.

Available to all UCSF research staff via the UCSF Tableau Open Access Portal (MyAccess login required).
