Updates to OnCore demographics June 2022
With the upgrade to OnCore version 2022R1, several changes have been made to improve gender tracking and distinguish biological sex from gender identity. The Gender field has been updated to Biological Sex and a new Gender Identity field is now available. The option lists for these fields have been configured to match the values in APeX’s Legal Sex and Gender Identity fields. For subjects with UCSF MRNs, Biological Sex will be updated with EMR data through the OnCore-APeX demographics interface.

During subject registration, Biological Sex will populate under Results after using the Find Subject tool to search for an MRN. Subject Details will populate demographics for existing subjects, including Biological Sex. For new subjects, Biological Sex is chosen from the dropdown option list. The new value “Nonbinary” is available in this list.

Study teams enter Gender Identity after a subject has been registered to a protocol. Gender Identity is not a required field, but study teams may add this data when available in APeX. Unlike Biological Sex, the OnCore-APeX demographics interface cannot map Gender Identity values from the EMR. We hope to have this feature available in the future.
OnCore Biological Sex mapping with APeX
With the upgrade, the Biological Sex field will pull in data from APeX matching the patient’s legal sex (the sex listed on their driver’s license). For UCSF this includes Female, Male, Nonbinary, and Unknown.

OnCore Gender Identity, not mapped – add manually if available
Gender Identity data is collected by UCSF Medical Center based on California PRIME REAL SO/GI requirements (granular Race, Ethnicity and Language, and Sexual Orientation/Gender Identity data). Data must be extracted from APeX by study teams and entered manually into OnCore.

APeX Sex and Gender Identity patient demographics form
Medical center Patient access staff update the Sex (legal) field in the Sex and Gender Information window. The legal sex is documented per the patient’s driver’s license. The Gender Identity field is updated by clinicians using the Sexual Orientation and Gender Identity SmartForm.
