How to Access OnCore and eReg
Access to OnCore and eReg is provided through a secure, web-based interface for study staff, ancillary services research staff, internal or external monitors or auditors, and affiliates.
Step 1: Complete Required Training
Step 2: Submit the Account Request survey. The Support Team will verify completion of training required for the requested role. You will then receive an activation email for your OnCore and/or eReg account. To modify an existing account, please complete the Account Request survey.
*There are additional considerations for setting up Affiliate users in OnCore and eReg. Follow the steps for Affiliate Account Access and Set-up.
OnCore Training
OnCore training requirements are role-based. Access to the training is for UCSF Only and requires MyAccess Login. The OnCore team may grant departmental or other special access on a case-by-case basis. Send a request and justification to the OnCore Helpdesk.
Research Coordinator
Enroll subjects, perform visit tracking, & enter data.

For study teams using OnCore Financials for post-award financial management, perform subject enrollment and visit tracking and denote visit variations such as missed, not applicable, and/or additional procedures as needed. Complete the additional required e-course, and in the Account request survey, in the Other User Role open text field, request the CRC-FIN role for OnCore Financials.

Creates submissions to PRMC, perform PPM signoff & view protocol status.

eReg training requirements are role-based. Access to the training requires MyAccess Login. All staff and monitors who log into eReg to sign, view, or manage documents will need an eReg account.
UCSF Regulatory Coordinator
The Regulatory Coordinator role is for anyone who will need to manage the regulatory binder, add documents and route documents for signature, and manage protocol subject documents. The scope of these permissions is for protocols in which the user is assigned/listed as protocol staff.
eReg - UCSF Regulatory Coordinator
UCSF Regulatory Manager
The Regulatory Manager role has an expanded scope, along with the functionality of the Regulatory Coordinator the Regulatory Manger has permissions to manage Investigational New Drug (IND) documentation in eReg. This role has global view access to all studies, subjects, and review sessions. It has access to manage standard operating procedures (SOPs), regulatory templates and regulatory tracking items for the organization records for IRBs, Labs, & Pharmacies. Because of this global access, this role is advised for those actively managing content in the eReg system including but not limited to, Senior Clinical Research Coordinators, Clinical Research Managers, or Supervisors.

UCSF Principal Investigator
The Principal Investigator role has the functionality to manage protocol staff, view delegated tasks, view and add protocol documents, and manage protocol subject documents. The scope of these permissions is for protocols in which the user is assigned/listed as protocol staff.
eReg - UCSF Principal Investigator
Signer
Review and sign documents. This role is for a person who doesn't use eReg but needs to sign off on documents, such as Nursing, Pharmacy, or Laboratory staff, in some instances a Co-Investigator.
eReg - Signer
Reviewer
Reviewers are internal or external monitors or auditors that can view documents within eReg Review sessions to which they are assigned. For external monitors, Regulatory Coordinators should follow the steps in the Affiliate (Non-UCSF Employee/Student) Instructions for Account Access and Set-up for OnCore and eReg guide to establish eReg access. Reviewer access requires UCSF credentials, completion of training, and an active eReg account.
eReg - Reviewer
UCSF Multi-Site (Add-on roll)
This is an add-on role to UCSF Regulatory Coordinator or UCSF Regulatory Manager for a staff member managing a multi-site protocol in which UCSF is the coordinating center. The permissions are similar to those of the UCSF Regulatory Coordinator for a multi-site protocol.
eReg - UCSF Multi-Site
UCSF Affiliate Access
This role is for non-UCSF study team member working with a UCSF Study Team in which UCSF is the coordinating center for a multi-site protocol. This is affiliates who do not have their own instance of Advarra eReg (non-data exchange affiliates). The role allows a user to log in, upload documents, and send document copies to the UCSF coordinating center.
